This Privacy Policy describes how The Provider's Coach Project (“we,” “us,” or “our”) collects, uses, and protects information when you use our website, contact us, or book a coaching session.
1. Information We Collect
We collect the following information when you interact with our services:
- Name and email address — collected when you sign our coaching agreement, submit a contact form, or book a session through our scheduling platform.
- Agreement signature data — the date and your acknowledgment of the coaching agreement terms, retained as a record of consent.
- Booking and intake form data — when you book a session through Calendly, the information you provide in the booking form — including your phone number, professional title, reason for booking, and how you heard about us — is collected directly by Calendly to facilitate scheduling.
- Payment information — for paid sessions, your name, email, and payment card details are collected by Calendly and Stripe on our behalf. We do not store or have direct access to your card information.
- Donation information — if you make a donation through our website, your name, email, and payment details are collected by GiveButter on our behalf. We do not store or have direct access to this payment information.
- Site usage data — we do not use tracking cookies. We use Vercel Analytics to collect anonymized, aggregate data about site usage such as page views and general traffic patterns. This data is not linked to individual users and does not identify you personally.
2. How We Use Your Information
We use your information to:
- Confirm your coaching agreement and maintain a record of it
- Facilitate session scheduling and generate your Zoom meeting link
- Process payment for paid sessions
- Process donations
- Send session confirmations and follow-up communication via our scheduling platform
- Respond to inquiries submitted through our contact form
- Understand how visitors use our site in order to improve our services
3. Third-Party Services
We use the following third-party services to operate our platform. Each service handles data in accordance with its own privacy policy.
- Calendly — handles session scheduling and, for paid sessions, payment collection. When you book a session, the information you provide in the booking form — including your name, email, professional title, reason for booking, and how you heard about us — is collected directly by Calendly and used to facilitate scheduling. Calendly sends session confirmation and reminder emails on our behalf.
- Zoom — Calendly generates a Zoom meeting link for each session and passes your name and email to Zoom to facilitate the virtual meeting. Your session is conducted over Zoom.
- Stripe — processes payments for paid sessions through the Calendly integration.
- GiveButter — processes donations made through our website. Your name, email, and payment details are handled by GiveButter on our behalf.
- Vercel — collects anonymized, aggregate site usage data to help us understand traffic and improve our website. No personal information is shared with Vercel through this integration.
4. Data Retention
We retain your name, email address, and agreement signature for the duration of the coaching relationship and as required by applicable law. You may request deletion of your information at any time by contacting us. Note that data held by third-party services such as Calendly, Zoom, Stripe, and GiveButter is subject to their own retention policies.
5. Data Sharing and Use Limitations
We do not sell your personal information, share it with third parties beyond those described in Section 3 above, or use it for advertising or marketing purposes.
6. Your Rights
You have the right to request access to the personal information we hold about you, request corrections, or ask us to delete it.
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including:
- The right to know what personal information we collect and how it is used
- The right to request deletion of your information
- The right not to be discriminated against for exercising these rights
